Earned Recognition (ER) – Driver KPI’s (Key Performance Indicators) Explained
- There are 9 area monitored for ER driver KPI’s
- Each KPI is calculated over a set ISO period
- Each period is made up of 4 fixed ISO weeks for example, Period 1 includes ISO weeks 1-4, Period 2 includes ISO weeks 5-9 and so on.
- 100% of your drivers are included in the calculation
Driver KPI Calculation
This section explains how the following 6 KPI’s are calculated:
- D1- GFP Band 1- Threshold 1.3%
- D2- GFP Band 2- Threshold 1.2%
- D3-GFP Band 3- Threshold 0.8%
- D4-GFP Band 4- Threshold 0.7%
- D5-Overall drivers hours infringements- Threshold 4%
- D6-Overall working time infringements- Threshold 4%
- Figures are calculated by dividing the number of infringements in the category by the number of driver days x100
- Each KPI has a threshold as shown above
- If the threshold is exceeded, then an alert is given based on the extent of the breach.
- This might result in information being sent to DVSA where a company has been accepted on to Earned Recognition.
Alerts
Alerts occur when a threshold has been breached. The colour given to the alert relates to the extent of the breach
- Yellow alert- Where the breach is between 0.1% and 0.99% over the threshold
- Amber alert- Where the breach is between 1.0% and 1.99% over the threshold
- Red alert- Where the breach is 2% or more over the threshold
Where a company has been accepted onto the ER scheme DVSA will be notified of breaches in the following circumstances:
- 3 yellow alerts across any of these KPI’s over 3 consecutive 4 week periods
- 2 amber alerts across any of these KPI’s over 3 consecutive 4 week periods
- 2 yellow and 1 amber alert over 3 consecutive 4 week periods
- 1 red alert
- 5 yellow or amber alerts over 13 rolling periods where these have not yet been reported
Breaches are notified to DVSA on a “wipe the slate clean” basis, that way a breach is only ever notified once.
- When a combination of alerts is reached that trigger a notification to DVSA, all other periods that have an alert that has not been notified to DVSA will be included in the email attachment.
- If you have been accepted onto Earned Recognition an email is sent to DVSA on the first Monday of each reporting period, 4 weeks in arrears
- If there are no combinations of alerts causing a trigger, then the email will be blank
- If there are combinations of alerts that cause a trigger then the email will include an attachment showing only the areas of concern.
Other KPI’s
There are 3 other Driver KPI’s that are displayed in actual figures rather than percentages:
- Drivers hours MSI (Most serious infringement- Where max driving time within a daily driving period exceeded by 50% or more or exceeding weekly drive limit of 25% or more)
- Repeat Offenders (Drivers that have any infringements in 3 consecutive periods)
- Unaccounted for KM’s
Where any drivers incur an MSI or fall into the repeat offender category, the numbers of drivers affected will be notified to DVSA, but only when a combination of alerts from the first 6 KPI’s has created a trigger.
Unaccounted for KM’s are displayed but are not notified to DVSA. They may be investigated during the audit process where there is an expectation that the discrepancies can be explained by the company.

- At the start of P3 (Period 3), P1 is reported upon
- DVSA would receive and email attachment because of the red alert against GFP band 4. The attachment would look like this:

- The yellow alert against GFP band 2 would also be notified to DVSA because the red alert caused a trigger.
- At P4 we would report on P2, P5 report on P3, P6 report on P4, P7 report on P5 and P8 report on P6. On these occasion DVSA would receive a blank email as there are no triggers.
- At P9 we would report on P7. An attachment would be sent because of the 3 yellow alerts in P6 and P7
- The attachment would look like this:

- Yellow alerts in P2 and P4, MSI’s in P4 and Repeat Offender numbers in P3 and P5 would be included as DVSA have not yet been notified of these. Alerts in P1 would not be included as they have already been sent.
Viewing Earned Recognition in Vision
To view ER in Vision first contact tachosupport@logistics.org.uk to enable the dashboard for your account.
Once this has been set up log on to Vision and select earned recognition:


- When first enabled the data shown will be for the last 2 periods (if available)
- The information will build so that eventually you will see 13 periods of information
- If you are accepted on to ER we will only notify DVSA about data from the date you were accepted.
- You do not have to be accepted on to ER to view your results. In these circumstances no information will be sent to DVSA, this will be for your eyes only.

- To drill down and find out which drivers have caused the KPI to exceed 0 click on a square:

- This page will display all the drivers that have contributed to the score exceeding 0
- All details are shown week by week for the period selected
- The first driver shown is the one with most infringements in that category
- Click the calendar icon to drill to the driver calendar in Vision to get more details
- You can change the period you wish to view and the KPI type on this page

- This page also allows you to view by location, driver type or driver name by using the search options at the top of the page:
